Getting Started

How do I sync my Shopify products?

When you first install GoStock, the import starts automatically — you do not need to click anything. GoStock imports locations, products, variants, inventory levels, and order history in sequence. A progress bar and live counters show how many items have been synced.

For subsequent syncs (for example, after adding new products in Shopify), go to Settings and click Import from Shopify. The same four-phase import runs again.

Do I need to do anything after the import finishes?

When the import completes, click Go to dashboard. GoStock will then run a background analysis of your order history to calculate reorder points and sales velocity. You will see a banner on the dashboard while this runs ("Analyzing sales history and calculating reorder points..."). It completes within a minute or two.

Can I use GoStock with multiple Shopify locations?

Yes. GoStock fully supports multiple locations. All purchase orders, transfers, replenishment rules, adjustments, and reports are location-aware. After the initial import, all your Shopify locations appear automatically.

What permissions does GoStock need?

GoStock requests inventory read/write, product read, order read, and location read permissions in Shopify. These are needed to keep inventory in sync, track sales for replenishment forecasting, and import your product catalog.


Inventory & Sync

Why is my inventory out of sync?

GoStock pushes every inventory change to Shopify automatically. If you see a discrepancy, the most common causes are:

  • Inventory was adjusted directly in Shopify admin — GoStock's sync will push its own numbers back to Shopify on the next write. Always make adjustments in GoStock, not Shopify admin.
  • A product was added in Shopify after GoStock's last import — run a new import from Settings → Import from Shopify to pull it in.
  • A webhook delivery failed — GoStock reconciles automatically; check the Shopify Sync Status card in Settings to see if any jobs are in a failed or degraded state.

If the Sync Status card shows degraded or failed jobs, running a fresh import is usually the fastest fix.

Does GoStock push inventory changes back to Shopify?

Yes. Every inventory change in GoStock — PO receipts, transfers, manual adjustments — is pushed to Shopify. GoStock is the source of truth; Shopify reflects what GoStock says.

What happens if I adjust inventory directly in Shopify admin?

GoStock will overwrite that change the next time it syncs that product. Always make inventory corrections in GoStock (go to Inventory, open the product, and use Adjust Stock) so the change is recorded with a reason code and audit trail.


Purchase Orders

Can I receive a partial shipment?

Yes. When receiving a PO, enter only the quantities you actually received. The PO moves to Partially Received status. You can come back and receive the remaining quantities when the rest of the shipment arrives. There is no limit on how many times you can partially receive a PO.

Can I edit a PO after it has been sent?

POs in Draft status can be fully edited. Once a PO is marked Sent, editing is restricted. If you need to make corrections to a sent PO, contact support at support@linktoany.com.

How do I cancel a purchase order?

Open the PO and click Cancel PO. Cancelled POs cannot be reopened. If you need to reorder, create a new PO. You cannot cancel a PO that has already been fully or partially received.

What is a Goods Receipt Note (GRN)?

A GRN is the document GoStock creates when you confirm receiving against a PO. It captures exactly what was received, when, and by whom. GoStock uses it for discrepancy tracking and it serves as your official receiving record for accounting purposes.

What does barcode scan-receiving do?

On the receive screen, GoStock offers a scan mode where you scan product barcodes as you unpack the delivery. GoStock matches each scan to the correct PO line item, increments the received count, and flags anything that does not match the PO (extra items, wrong items, missing items). This speeds up receiving and catches discrepancies before you sign off.


Replenishment

How do I set reorder points?

Go to Replenishment in the left navigation and open the Rules tab (or go to Settings → Reorder Rules). You can set a minimum and maximum quantity per product per location. When on-hand stock falls to or below the minimum, GoStock flags the product for replenishment.

How does GoStock calculate suggested order quantities?

GoStock suggests ordering enough to bring stock up to the maximum you have set. For example, if your maximum is 100 and you currently have 20 on hand, the suggestion is to order 80 units.

Why is a product not showing in replenishment suggestions?

The two most common reasons:

  1. The product has no min/max rule set. Without a rule, GoStock does not know when to flag it. Set a rule from Settings → Reorder Rules or directly in the Replenishment section.
  2. The product's on-hand quantity has not actually dropped below the minimum yet.

Can GoStock automatically create purchase orders when stock gets low?

Yes. Enable Auto-Replenishment in Settings. When enabled, GoStock generates draft purchase orders from active replenishment suggestions on a weekly schedule you choose (day of week and time in UTC). The POs are created as drafts — you review and send them yourself. No POs are created if there are no active suggestions at the scheduled time.


Transfers

Does a transfer affect inventory immediately?

When you click Send Transfer, inventory is deducted from the source location immediately. The stock is then shown as "in transit." Inventory is added to the destination location only when you click Receive Transfer and confirm the received quantities.

What happens if I receive fewer items than were sent?

GoStock records the discrepancy. The destination location receives only what you entered as received, and a discrepancy record is created for the missing quantity. The transfer is completed as Completed with Discrepancies. The discrepancy is logged for investigation but does not block completion.


Settings & Notifications

How do I get alerted when stock is running low?

GoStock sends a daily digest email at 7 AM covering stockouts, low stock warnings, overdue POs, and margin alerts. Configure the margin alert threshold in Settings → Notifications. To test it immediately, click Send digest now.

What does the margin alert threshold do?

GoStock monitors the margin on each product. If a product's margin drops below the threshold you set (for example, 35%), it is included in the daily digest as a margin alert. This helps you catch pricing or cost issues before they erode your profitability.

I was using Stocky — can I bring my data over?

Yes. Go to Settings → Migrate from Stocky. You can upload CSV exports from Stocky and GoStock maps the historical data to the correct products and locations. Do this before August 31, 2026, when Shopify shuts down the Stocky app.
